Privacy Policy
This Privacy Policy describes how Nexus ("the Bot", "we", "us") collects, uses, stores, and handles information when you use the Bot in your Discord server.
1. Who We Are
Nexus is a Discord bot providing moderation, entertainment, leveling, economy, utility, and server-management features. The Bot is operated by its developer(s) ("we", "us", "our").
2. Information We Collect
We only collect data that is necessary for the Bot's features to function. We do not collect names, email addresses, IP addresses, passwords, or any personally identifiable information beyond what Discord itself makes available.
2.1 User Data
| Data | Purpose |
|---|---|
| Discord User ID | Identifying users across leveling, economy, moderation actions, and feedback |
| XP / Level | Powering the leveling and role-reward system |
| Economy balance & transaction history | Powering the virtual currency and economy features |
| Message count (not content) | Calculating XP gains |
2.2 Server (Guild) Data
| Data | Purpose |
|---|---|
| Discord Guild (Server) ID | Linking all configuration to the correct server |
| Channel IDs & Role IDs | Storing feature configurations (welcome channel, log channel, mute role, etc.) |
| Moderation configuration | AutoMod rules, anti-nuke settings, nick-ban roles, sticky messages |
| Counting channel data | Channel, current count, user stats, reaction settings |
| Welcome / farewell messages | Greeting new and departing members |
| Leveling & economy settings | Per-server customisation of feature behaviour |
| Backup data | Server configuration snapshots for disaster recovery |
| Logging settings | Which events are logged and where |
2.3 Message Data
The Bot reads message content only where required by a specific feature:
- AutoMod — to detect and act on prohibited words, links, or patterns.
- Counting — to validate numbers in the counting channel.
- Sticky messages — to re-post pinned messages after new activity.
- Feedback — text submitted intentionally by users via the feedback command.
Message content is not stored permanently. AutoMod and counting checks happen in real-time and are not saved to any database.
3. How We Use Your Data
- To deliver the features of the Bot (leveling, economy, moderation, logging, etc.).
- To persist user preferences and server configurations between sessions.
- To restore server configurations from backups when requested by server administrators.
We do not:
- Sell, rent, or share your data with third parties.
- Use your data for advertising or marketing purposes.
- Store data beyond what is needed for the Bot's features.
4. Data Storage and Security
- All data is stored in a secure database associated with the Bot's hosting environment.
- Data is only accessible to the Bot's developer(s) and is not shared publicly.
- We take reasonable technical measures to protect stored data from unauthorised access.
- No system is 100% secure, and we cannot guarantee absolute security.
5. Data Retention
- User data (XP, economy balance) is retained as long as the Bot is present in the server where you are active, or until a server administrator requests its deletion.
- Server configuration is retained as long as the Bot is present in that server. When the Bot is removed from a server, its associated data may be retained for up to 30 days before being deleted.
- Backup data is retained until deleted by a server administrator or the Bot is removed.
6. Your Rights
Depending on your location, you may have rights under applicable data protection laws, including:
- Access — Request a summary of the data we hold about you.
- Deletion — Request deletion of your data (economy balance, XP, etc.).
- Correction — Request correction of inaccurate data.
To exercise any of these rights, contact the Bot's developer through the designated support channel in the official support server.
Server administrators may request deletion of all data associated with their server at any time by removing the Bot and submitting a deletion request.
7. Children's Privacy
The Bot is intended for use on Discord, which requires users to be at least 13 years of age (or older in some jurisdictions) under Discord's own Terms of Service. We do not knowingly collect data from users under the applicable minimum age. If you believe a user under the minimum age has submitted data to the Bot, please contact us.
8. Third-Party Services
The Bot operates within the Discord platform and is subject to Discord's Privacy Policy. We are not responsible for Discord's data practices.
The Bot does not integrate with any other third-party services that collect personal data.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Significant changes will be announced in the Bot's official support server. Continued use of the Bot after changes take effect constitutes acceptance of the updated policy.
10. Contact
For privacy-related questions or requests, please reach out via the official support server or the Bot's designated support contact.
